On-Site Functional Testing
Equipment simply being mounted on the wall doesn't mean the installation actually works correctly — it's worth running functional tests with the installer present, covering real usage scenarios, not just turning devices on and off.
- Video conferencing test — a test call with a remote participant, checking video, audio, and the absence of echo.
- Test of all signal sources — participants' laptops, source switching, and any wireless screen sharing.
- Control test — the touch panel, app, or remote should be able to operate the entire system without needing to manually adjust individual devices.
- Volume and sound coverage test — checking that audio is intelligible from every spot in the room.
Workmanship Quality and Safety
Beyond the equipment's function, it's worth assessing the quality of the installation itself — is the cabling tidy and properly secured, are the mounts and support structures firmly anchored, and are the mounting holes finished neatly. In installations that involve working inside walls or ceilings, it's also good practice to confirm the work was carried out in accordance with local building regulations and, where structural elements of the building were involved, with the appropriate approval from the building manager or owner.
Rule of thumb: don't sign an acceptance protocol on trust — ask for the system to be tested under the scenario closest to how it will actually be used day to day.
Acceptance Protocol and Warranty Terms
The acceptance protocol should clearly state the scope of work performed, any outstanding issues along with deadlines to resolve them, and the warranty terms covering both equipment and installation services. It's worth checking whether the warranty covers the device itself as well as the installation work, and what the process is for reporting faults after the contractor's engagement ends. Keeping complete documentation — the design, the protocol, and the warranty — makes any future system expansion easier.
